Administrative Assistant

Employment Status:  Full-Time
           FLSA Status: Non-Exempt
           Reports to: President/CEO

Job Summary:
Provides general clerical and administrative support to the daily activities and functions of the Xenia Area Chamber of Commerce.

Essential Functions:

  • Acts as a liaison between the local area and the Chamber by providing public information to the community+
  • Receives and transfers incoming calls in a timely manner or takes accurate complete written messages
  • Greets visitors/business clientele and directs them to appropriate sources
  • Effectively communicates with individuals at all levels to ensure positive customer service and productive team support
  • Maintains and updates membership database
  • Prepares, assembles, and distributes all business mailings and correspondences in a timely manner
  • Performs other clerical duties such as typing, copying, and filing documents as needed
  • Assists with the organization of events, seminars, promotions, and other community activities
  • Prioritizes and effectively handles several tasks with minimal supervision and completes assignments under strict deadlines
  • Compiles and distributes weekly correspondence to Chamber members and other business associates
  • Helps to maintain and update the Chamber’s website
  • Helps to conduct financial aspects of the business, including banking, check disbursements, and billings
  • Schedules and attends meetings and records minutes
  • Contributes to a team effort by performing other job-related duties as assigned

Physical Requirements:

  • Ability to express or exchange ideas by means of the spoken word
  • Ability to receive detailed information through oral communication
  • Ability to view a computer screen for an extended period of time and/or identify individuals visually
  • Ability to sit for extended period of time
  • Ability to work with fingers for handling coins or other small objects and use a keyboard
  • Ability to extend hand/arm in any direction to move/handle objects
  • Ability to travel to various/multiple locations or client sites
  • Ability to lift and/or move up to 40 pounds

Knowledge, Skills, and Abilities:

  • High school diploma/GED or equivalent required
  • Minimum 6 months of office support and/or general clerical administrative experience required
  • Accurate typing at 45 words per minute and additional skills in alphanumeric data entry required
  • Basic skills with computers, standard office equipment, an aptitude for using company-related software packages, and willingness to learn new PC skills required
  • Excellent verbal/written communication skills, including proper grammar and telephone etiquette required
  • Must demonstrate skills in accuracy, problem solving, and decision making under minimal supervision
  • Must perform functions in a professional, courteous manner with a well-groomed, business-like appearance
  • Upbeat temperament with a positive attitude and strong work ethic required
  • Ability to work a flexible schedule and travel as needed
  • Must possess a legal driver’s license and dependable transportation
